Behind on Your Bookkeeping? Here’s Exactly How Catch-Up Works
You’re behind. Maybe three months. Maybe three years. You know it. You’ve been avoiding it. And every month you wait, the pile gets worse and the anxiety gets louder.
Here’s what catch-up bookkeeping actually is, how it works, what it costs, and why the longer you wait the worse it gets.
What Catch-Up Bookkeeping Actually Means
Catch-up bookkeeping (also called cleanup, backwork, or catch-up work) is a fixed-scope project where a bookkeeper takes your business from its current messy state to a set of clean, reconciled, reportable books.
It’s different from monthly bookkeeping. Monthly bookkeeping keeps clean books clean. Catch-up turns messy books into clean ones.
Most businesses who need catch-up fall into one of these buckets:
- Used to do it themselves, fell behind, never caught up
- Had a bookkeeper who ghosted, quit, or did bad work
- Tried to DIY in QuickBooks and created a categorization disaster
- Need clean books for taxes, a loan application, a sale, or an audit
- Haven’t touched the books since the business started
The 5 Phases of a Catch-Up Project
Phase 1: Diagnostic (Week 1)
Before we quote a price, we need to look at what we’re dealing with. We’ll get view-only access to your QuickBooks, your bank statements, and your credit card statements. We’re looking at:
- How many months/years are out of whack
- How many accounts (bank, credit card, loans, merchant services)
- Transaction volume per month
- Current state of categorization
- Last clean reconciliation (if any)
- Open AR and AP
From that, we give you a fixed-price quote and a timeline. No surprises.
Phase 2: Data Gathering
We need statements for every account, for every month we’re cleaning. If your bank has the statements online, great. If not, we help you pull them. This is usually the slowest phase because it depends on you, but we can usually get everything within a week.
Phase 3: Reconstruction
This is the heavy lifting. We rebuild your books month by month:
- Fix or build your chart of accounts to match your industry
- Import missing transactions
- Categorize every transaction properly
- Reconcile every account to the bank statement
- Identify and fix duplicate entries
- Sort out owner draws, transfers, and personal expenses
- Clean up uncategorized income and uncategorized expenses
- Build or fix opening balances
Phase 4: Review and Questions
We’re going to have questions. A lot of them. “What was this $2,400 charge to Home Depot in March?” “Is this Venmo to Mike a contractor payment or personal?” You’ll get a shared spreadsheet with every question we couldn’t answer from context, and we’ll knock them out together on a single call.
Phase 5: Delivery and Handoff
You get:
- A clean, reconciled set of books in QuickBooks Online
- A profit and loss statement for every month cleaned
- A balance sheet as of your go-forward start date
- A list of any items flagged for your accountant’s review
- A summary of what we found (missed deductions, duplicates, etc.)
From there, most clients roll into monthly service. Some take the clean books and DIY from there. Either is fine.
How Long Does It Take?
Rough timeline based on how much is behind:
- 1 to 3 months behind: 1 to 2 weeks
- 3 to 6 months behind: 2 to 4 weeks
- 6 to 12 months behind: 3 to 6 weeks
- 12+ months behind: 4 to 10 weeks
Our average client comes in about 18 months behind, and we clear it in 4 to 6 weeks.
What It Costs
Catch-up is priced per project, not hourly. Our quote is based on the diagnostic — once we’ve seen what we’re dealing with, you get a fixed price.
General ballparks for small businesses:
- Simple, 3 to 6 months behind: $750 to $1,500
- Moderate complexity, 6 to 12 months behind: $1,500 to $3,500
- Complex or 12+ months behind: $3,000 to $7,500+
Restaurants and businesses with POS integrations, inventory, or multi-state sales tax land on the higher end. Simple service businesses land on the lower end.
Why Waiting Costs You More
Every month you delay catch-up adds to the pile. More transactions to sort. More bank feed matches QuickBooks will miss. More memory fade on what random charges were for. The cost goes up, not down.
Add in what you’re missing while the books are a mess:
- Deductions you can’t claim because you don’t know what’s categorized where
- Loan or line of credit applications you can’t complete
- Cash flow decisions made on vibes instead of data
- Tax extensions and filing late penalties
- The slow constant anxiety of knowing something’s wrong
The Good News
However bad it is, we’ve seen worse. Probably. A 2-year backlog doesn’t mean 2 years of work. A good cleanup crew can compress a year of mess into a couple weeks of focused work.
And once it’s done, it’s done. You get clean books, and monthly service keeps them that way.
